This Privacy Policy explains how Cadigence Technologies Private Limited ("Cadigence", "we", "us") collects, uses, stores, and protects information when you use the Cadigence platform. We are committed to handling your data responsibly and in accordance with the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA).

1. Who This Policy Applies To

This policy applies to:

  • Administrators and users of the Cadigence web portal
  • Engineers whose workstations have the Cadigence AutoCAD plugin installed
  • Visitors to cadigence.com

2. What Data We Collect

2.1 Account Data

When you create an account, we collect your name, work email address, organisation name, and designation. This information is provided directly by you or by your organisation's administrator.

2.2 Drawing Production Metadata

The AutoCAD plugin captures metadata about how engineers interact with drawing files. This includes:

  • The name and file path of DWG files opened in AutoCAD
  • Active editing time per file (time when the engineer is actively working, excluding idle periods)
  • The Windows username associated with each session
  • Timestamps of file open, save, and close events

Cadigence does not capture, store, or transmit the contents of your DWG files. Drawing geometry, annotations, and design data never leave your workstation.

2.3 Approval and Workflow Data

When drawings are submitted for approval through the platform, we store the submission timestamp, approver identity, approval or rejection decision, and any comments added during the approval process.

2.4 Usage Data

We collect standard web application usage data including browser type, operating system, pages visited within the portal, and session duration. This is used to improve the platform.

2.5 Payment Data

Payment transactions are processed by Razorpay. Cadigence does not store your card details or bank account information. We retain transaction identifiers and amounts for billing and tax purposes.

3. How We Use Your Data

We use the data we collect to:

  • Provide and operate the Cadigence platform
  • Generate time tracking reports, approval records, and analytics for your organisation
  • Send invoices, payment receipts, and subscription communications
  • Respond to support requests
  • Improve the platform based on usage patterns
  • Meet our legal and regulatory obligations

We do not sell your data. We do not use your data for advertising. We do not share your data with third parties except as described in Section 5.

4. Legal Basis for Processing

We process your data on the following grounds:

  • Contract performance — processing necessary to provide the service you have subscribed to
  • Legitimate interests — platform improvement and security monitoring
  • Legal obligation — compliance with Indian tax, accounting, and data protection law
  • Consent — where you have explicitly opted in to specific communications

5. Data Sharing

We share data only in the following circumstances:

  • Within your organisation — administrators can view data for all users under their account. Engineers can view their own data only.
  • Service providers — we use a small number of third-party services to operate the platform, including cloud infrastructure and payment processing. These providers are contractually bound to process data only as instructed by us.
  • Legal requirements — we may disclose data if required by law, court order, or a competent government authority.
  • Business transfer — if Cadigence is acquired or merges with another entity, your data may be transferred as part of that transaction. We will notify you before this occurs.

We do not share data with advertisers, data brokers, or marketing platforms.

6. Data Storage and Security

All data is stored on servers located in India. We use the following measures to protect your data:

  • Encryption in transit using TLS 1.2 or higher
  • Encryption at rest using AES-256
  • Role-based access controls limiting staff access to data
  • Regular internal security reviews
  • Vulnerability assessment and penetration testing (VAPT) conducted periodically

7. Data Retention

We retain your data for as long as your subscription is active. On termination or cancellation of your subscription:

  • Your data is retained for 30 days, during which you may export it via the web portal
  • After 30 days, your data is permanently and irreversibly deleted from our systems
  • Billing records are retained for 7 years as required by Indian accounting and tax law

8. Your Rights

Under applicable Indian data protection law, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate personal data
  • Erasure — request deletion of your personal data, subject to legal retention requirements
  • Portability — export your data in a machine-readable format via the web portal
  • Grievance redressal — raise a complaint about how we handle your data

9. Cookies

The Cadigence web portal uses essential cookies to maintain your login session. We do not use advertising cookies or third-party tracking cookies. You can disable cookies in your browser settings, but this will prevent you from logging in to the portal.

The cadigence.com marketing website may use analytics cookies to understand visitor behaviour. These do not collect personally identifiable information.

10. Children

The Cadigence platform is intended for use by professionals in an organisational context. We do not knowingly collect data from individuals under the age of 18.

11. Changes to This Policy

We may update this policy from time to time. We will notify subscribers by email at least 14 days before material changes take effect. The latest version is always available at cadigence.com/privacy.

12. Grievance Officer

In accordance with the Information Technology Act, 2000 and the DPDPA, our designated Grievance Officer for data-related complaints is:
